Your Move to New Proposify Starts Here!
Ready for a fresh, faster Proposify experience? This guide walks you through migrating your templates, sections, snippets, images and fees from legacy Proposify to New Proposify, smoothly and at your own pace.
Your legacy content stays safe the whole time. Migrating makes a copy in New Proposify. It doesn't move or delete the original.
Before You Begin
A few features are still on their way to New Proposify. Take a quick look at our V3 Migration FAQs so you know what to expect before you start.
Switching Between Legacy and New Proposify
Use the switcher at the top of any page. Select the "Proposify 3.0" dropdown to:
- Switch to Legacy Proposify
- Set Proposify 3.0 as your default
- Open Proposify Migration Resources
Migration starts in legacy, so switch to Legacy Proposify first.
Prepare Your Templates (Do This First)
A little prep goes a long way toward a smooth migration.
- Clean up unused content: Remove images, snippets, or sections you no longer need. A lighter template migrates faster.
- Turn on your fonts: Using custom or brand fonts? In legacy, go to Settings > Fonts, search for each font, and switch it ON. In New Proposify, fonts are under Settings > Account > Available Fonts. Skip this and fonts that aren't turned on will use Times New Roman as a placeholder.
- Check your page size: New Proposify supports US Letter, A4 and Legal. Your page size and orientation carry over, and you can change them any time in Design > Page Setup.
- Note any advanced pricing: Your fee library migrates to the Pricing Catalogue. Pricing tables with recurring fees and discounts may need a quick rebuild after migration.
How to Migrate a Template
This is the fast part! Small templates finish in under a minute.
- In legacy Proposify, go to your Templates page.
- Find the template you want to migrate.
- Hover over the template and select the three dots in the upper-right corner.
- Select Migrate to Proposify V3.
- In the pop-up, select Yes, migrate.
- While it works, the template card shows "A new template is transferring now."
- When it's done, a green banner appears that says "Your Proposify 3 template is ready!" Select Take me to it to open the template. The banner only shows for a few seconds, so if you miss it, find your template in your New Proposify Content Library.
Now for a quick once-over to make sure everything looks great.
How to Migrate in Bulk
You can migrate several items at once, one content type at a time:
- Go to Templates, or open the Sections, Fees, Snippets or Images tab in your Content Library.
- Hover over each item you want to migrate and tick its checkbox.
- In the toolbar that appears, select the migrate icon (the arrow icon between the lock and the trash can). You'll receive an email once migrations are complete with the list of migrated content.
Please avoid the trash can icon: it deletes the selected items!
Good to know:
- Templates, sections, snippets, images and fees are migrated separately, so you'll repeat the steps for each content type. You can also still migrate items one at a time from the three dots menu.
- Folders don't carry over. Items arrive at the top level of your New Proposify Content Library, so you may want to reorganize afterwards. Fees go to your Pricing Catalogue.
After Migration: What to Check
Think of this as your final polish. Open your template and use the Finalize your template checklist (bottom right of the editor) as a guide: Create your template, Section structure, Insert variables, Add pricing, and Create document.
- Images: Check that images came through at the right size and position. Image cropping isn't available in the editor yet, so edit the image in another tool and re-upload it if something looks off.
- Tables & Pricing Tables: Give spacing and sizing a glance. Table colour, border styling, and alternating row styling are customizable in New Proposify. Recurring fees, discounts or taxes may need to be rebuilt manually.
- Shapes & Lines: Check that angled shapes or lines carried over at their original angle and adjust if anything looks off.
- Text & Formatting: Scan for text needing a colour or style refresh, especially anything that defaulted to "Normal Text." If you see Times New Roman, turn on the font and reapply it.
- Overlapping Elements: There's no layers panel yet, so click each overlapping element and adjust it one at a time.
- Signatures: Signature blocks come through unassigned, so assign each one to the right signee before sending. Initial blocks aren't supported yet, so swap in a standard signature block instead.
You Did It!
Congratulations, you're officially migrated to New Proposify! 🎉 Send yourself a test document to see your template in action. And remember, your legacy templates and data are always there whenever you need them, using the switcher.
